Important Changes

New Document History available from the pop-up menu

Users can tag individual attachments when importing directly from Outlook emails

Print and Save As icons now act on multiple tagged Documents

VBM interfaces to any build of PDF Creator

Transmittal row height now auto adjusts for long Document Titles

All Deliveries Matrix report now works for legacy Excel 2003

 

New Features

  1. A new Document history window is now available from the pop-up menu

 

Enhancements

  1. A new window is displayed to the User listing all attachments when importing attachments from an Outlook email. The user can untag unwanted attachments (including embedded images such as signature logos which are untagged by default) before importing into VBM. This resolves Microsoft Corp restriction of Programmer access to the selected attachments and the separation of embedded images in Outlook emails.
  2. Function panel item “Reply to a Document” has been renamed “Create Relational Document” and has also been added to the pop-up menu under New >> Relational Document
  3. The Print and Save icons on the main toolbar now allow the User to perform actions on all tagged Documents as per the Print All and Save As functions on the pop-up menu
  4. The Jobs drop down list is now visible on the RFS Explorer even though there may be no Jobs available in a Vault or the User may not be a resource in any Jobs
  5. Transmittals were previously saved into the ‘RealFS Templates – Reserved’ Repository. For new VBM installations a new Repository ‘RealFS Transmittals – Reserved’ is deployed for each Vault as the default Repository for Category ‘Transmittals Out – Reserved’ into which all Transmittals are now automatically saved
  6. Users were previously restricted to installing only PDFCreator build 0.9.9. VBM now supports interface to any build of PDFCreator and will work correctly when new PDFCreator updates are installed

 

Usage Updates and Resolutions

  1. Although a Contact was removed from an EGroup and assigned to a new EGroup, the old EGroup details were included when creating a Transmittal. Removed EGroups or Contacts are no longer available when resolving details for a Transmittal
  2. The NT login name is no longer case sensitive when retrieving a User’s forgotten password
  3. Version metadata for Documents with Work Status set to OBSOLETE is not valid when the Document List Filter is set to return OBSOLETE documents. The Document List report now includes filtered OBSOLETE Documents
  4. The Transmittal row height now auto adjusts for very long Document Titles which wrap onto multiple lines
  5. Documents with very long Titles can now be included as email attachments. The filename of the attachment is now truncated at 100 characters. All references to the Document including Transmittal items still contain the full length of the Title
  6. Report All Deliveries Matrix no longer crashes when legacy Excel 2003 is installed

New Features

  1. For SQL installations, different Cell servers can be selected from a drop down list on the VBM Login screen
  2. Outlook objects including Appointments, Meeting Requests, Tasks and Read Receipts can be dragged and dropped into VBM
  3. The current Custom Sort criteria is now displayed alongside the Custom Sort checkbox
  4. Tag column has been added to Message Board
  5. Size and Copies can be auto-pasted and auto-completed into Transmittal grids using the enter or up/down arrow keys
  6. Excel report is now available for External Groups from the Accounts Manager main menu
  7. Excel reports are now available for All Users for Biz, RFS, Documents and Packages permissions
  8. Customised logo for XL reports MyLogo.xxx for all Users can be saved in the license file folder including function to add/remove
  9. The bizadmin User can save a Corporate background picture for all Users in license file folder
  10. Main Report menu now includes new sub-menu Document Delivery for reports
    • By Tagged Versions (previously Document Delivery report)
    • By Selected Recipients (previously Recipient Delivery report)
    • All Deliveries Matrix (new report)
  11. Send To >> Recipients (As Delivery) now prompts for delivery site details to store delivered files (and transmittal if selected) instead of defaulting to the user’s desktop. An FTP site can be selected if required, including login details for the recipient
  12. Send To >> Recipients (As Delivery) now provides an option to create an automatic notification email to recipient/s including the FTP site login details to the delivered files (and transmittal if selected). The notification email is automatically retrieved from the sender’s Outlook Sent Items folder
  13. Now installs and runs under Windows 7 and Microsoft Office 2010
  14. Document Lists and drop down lists can now be scrolled using the mousewheel
  15. Word, Excel and PowerPoint Documents created using the 'Microsoft Office' Provider are now created in XML format when Microsoft Office 2007 is installed
     

    For Version 1.5.12 

  16. A new function Edit >> Job Resource is provided on the Category Browser pop-up menu so that a User with permission to edit Job resources can now assign or de-assign multiple Jobs for a user
  17. Users can now vertically resize the Information panel at the bottom of the RealFS Explorer window

 

Enhancements

  1. New Certificate Attribute 'JobClient' is now available when constructing Certificates
  2. The User is now prompted with Recipients list when creating a new email document
  3. User is now warned on import spreadsheet if a document is being created with a future date
  4. Variant Definitions have been added to Excel reports
  5. The bizadmin User can overwrite documents at APPROVED or CERT FINAL work status
  6. Success prompt is now displayed when User account details sent by email
  7. Replicate File Index report now prompts the User for the folder to save the replication output
  8. Overwrite and Save As document now shows file copy progress
  9. Mouse handle over Search Job list icon has been changed to Hand
  10. A hyperlink to a Microsoft Windows folder can now be established when creating a document
  11. Size column is blank by default when creating a transmittal
  12. Permissions for the Tools menu vs Doc Controller have been updated so Doc Controllers only have access to Upload documents facility
  13. Removed Users cannot be deleted but can now be re-instated if required. Removing a User frees up the User's license
  14. Install setup can now be deployed to a UNC server path
  15. Method of drag-n-drop emails and attachments from Outlook has been refined to improve speed
  16. Document properties now show the Document's associated Job No
  17. User prompt added for User to confirm when all Jobs made active/inactive on the Search Jobs screen
  18. Can't delete a Variant or Version which is still included in a Package
  19. Can't send a Document to the Recycle Bin which is still included in a Package
  20. SuperUsers no longer have over-riding permissions to create Documents, Variants or Versions
  21. Variant Definitions item column in grid on Edit >> Profile is now greyed out
  22. Delivered On date and Delivered By user can now be changed in Send To facility
  23. Send To >> Mail Recipients option to "Send Documents via formal Email communication" is no longer available but now prompts the User to decide by default
  24. Transmittal is now relational linked as a child to the outgoing email when using Send To facility
  25. The PDFCreator window is now displayed when using Save As, or Send To >> Recipients (as Delivery) to confirm the conversion progress
  26. Access to send documents to the Recycle Bin is now available to all Users. Only Users who are members of the 'bizAdmins' group are still able to restore Documents from the Recycle Bin.
  27. Contacts can now be associated with different External Groups as separate duplicate Contacts with the same name and/or email details. A duplicate Contact is now resolved as the Contact assigned to a Job. A duplicate Contact cannot be associated with the same Job
  28. An External Group or Contact's details can be copied to the clipboard by clicking the associated copy icon now provided on the Contacts Manager tabs
  29. The Notes field is now included in the Contact upload sheet
  30. Emails are now created and pre-filled with Job Number Title when a current Job is selected.
  31. All Job search icons is depressed as the mouse passes over to indicate an action is available to display the Job Search window
  32. Selection of Clients and External Groups on New Job, Edit Job and Recipient Details windows is now via drop down list of existing External Groups. Users with permissions can create new External Groups using a 'New' button located beside the drop down list.
     

    For Version 1.5.12 

  33. Job Search window does not show when creating new Documents or importing Documents if Novice User is turned off from the main Help menu.
  34. New Local/Network buttons are now provided on the Save As, Import File and Create Upload Sheet windows to allow access to save Documents and import files to/from a network drive
  35. Can now create a Windows Folder to export Document when using Save As
  36. Themes window now stays active when saving a new Theme or changes to an existing Theme
  37. Resend a User’s details now includes the User’s Biz Group memberships
  38. When using the Data Dictionary a message is now displayed when the User tries to go to a Category which is not available to the User
  39. The User can now assign a Theme or Event to a different Job from the edit window when editing Themes and Events
  40. To improve overall response, MyComm only searches a User’s Outlook Sent Items folder for old outstanding acquired certificates which are more than 2 days old whenever RealFS Explorer either starts or closes.
  41. A warning is now provided to the User when creating a Document upload sheet when the selected Category allows duplicate Documents because a new Document will be created instead of a new Version.
  42. Various Biz and RealFS User permissions reports now include the User’s office location
  43. The Document file type is now displayed in all Document Lists
  44. Can now check-out multiple tagged documents however check-in is still done by selecting a single document
  45. When using Send To >> Mail Recipient the transmittal list is now removed from the end of the email when the email contains a formal Transmittal attachment
  46. Can now add a Contact to a Job during a Send To operation using a new button provided on the Email Documents and Deliver Documents windows

 

Usage Updates and Resolutions

  1. Upload sheet now returns the User to the currently selected Job and Category
  2. Default Packages permissions are now saved
  3. Link Certificate screen now filters list to the selected job only
  4. Recycled documents are not included in the Document List when FILTER = Collection or Group, and the FILTER button is right clicked
  5. Changing the EGroup name now prompts the User to confirm updating the Job Client, Document Owner and Document delivery records
  6. Upload Import Sheet with FREEFORM version set to N/A now imports correctly
  7. Removed EGroups are no longer prompted as Clients when creating new Jobs
  8. The FILTER now returns Variants and Versions correctly when a keyword is only found in the Certificate or Subject but Certificate + Subject + Variant + Version options are checked
  9. Variant and Version columns are now in view in Message Board on the Documents tab
  10. Address 2 can now be edited from Address Book grid on the Mail Documents screen
  11. Next button now enabled when importing a new Version and the FREEFORM Version is entered after entering the Version Note
  12. Emails with subject ending .doc .xls etc can now be saved
  13. Job List drop down is now visible if all Jobs are made inactive
  14. Send a Document to ALL JOBS now works correctly
  15. Document properties now shown for Documents which are not associated with a Job
  16. Package Documents list is now refreshed after WORK STATUS has been updated when setting a Baseline
  17. More stability has been provided around creating and opening files
  18. Email Documents are no longer de-selected in Document Lists after being double clicked
  19. Now compatible with PDFCreator version 0.9.9 which in turn resolved problem where PDFCreator doesn't close down after PDF creation. User's must now upgrade to PDF Creator 0.9.9
  20. Document List Filter now includes a filter checkbox for Work Status = OBSOLETE
  21. Transmittal file is now created correctly when a Job Number contains illegal Windows characters
  22. Error reported when checking if a Document is included in a Package when deleting a Version
  23. The OBSOLETE Work Status is now disabled while a document is LOCKED
  24. Can now create new Variants of OBSOLETE Documents but not new Versions
  25. Template Variants with Work Status set to OBSOLETE no longer appear in Template lists when creating new Documents or Variants. If there is no Template Variant with Work Status set to APPROVED or CERT FINAL then the User is prompted that there is no approved Template
  26. The SubNumber continues to increment when Certificate text is the same but different Jobs. The SubNumber attribute now correctly restarts for each Job.
     

    For Version 1.5.12 

  27. Upload Sheet now imports external files as separate Documents when a Category allows duplicate Documents. Previously importing documents with the same Document Code would try to create multiple Versions
  28. Resolved Select Job window freeze when importing an email and novice user is ON
  29. The Document approval date is cleared when the bizadmin user resets the Work Status from OBSOLETE back to NOT APPROVED, FOR APPROVAL, IN REVIEW or DRAFT
  30. The ‘To Date’ on the Document List Filter now defaults to a maximum date in order to include all Documents in a Category including those with a future create date
  31. Files with a future create date are set to today’s date when dropped into VBM
  32. A new Version of a Template using a different file type extension (ie .doc -> .docx) now correctly appears in the Templates list when creating Documents
  33. If the Office Location column is moved in the Document List it remains in the new location when the Document List is refreshed
  34. Drop down lists on the Packages tab now clear all text when the lists are empty

 

Known Limitations

  1. Overwrite document doesn't work if Repository \FOLDER X doesn't exist. This should not occur for VBM installations installed correctly
  2. Screen resolution prevents VBM loading on a mini PC
  3. Incorrect author is selected when importing a document into another server's Vault
  4. Importing an Outlook Read receipt doesn't retrieve the sender's name. This is an access restriction placed on Outlook by Microsoft Corp
  5. External Contact is not available when changing BIZ Group when creating Documents
  6. Can't drag and drop an email into VBM from the Outlook Advanced Find window. This is an access restriction placed on Outlook by Microsoft Corp
  7. Versions of Template Documents must have the same file type although new Versions can be created as Office 2007 or macro enabled file types (eg .doc -> .docx or docm). Variants of a Template Document should also be of the same file type.

 

Newly Logged to Development Cycle

  1. Run a report which checks for broken links
  2. Update Version report to indicate who set the Work Status of a Document to APPROVED
